Summary

A corporate event planner in Singapore handles venue sourcing, F&B, AV and staging, run sheet, entertainment, and on-site crew for one management fee, instead of you dealing with eight separate vendors. Budgets typically run from about SGD 80 to SGD 250 per head depending on venue and production level, with a management fee of roughly 10 to 20 percent of total spend, or a flat fee for smaller events. Lead time is 4 to 12 weeks for most corporate functions, longer for large galas or festive season bookings.

1. Scope

What a corporate event planner in Singapore actually covers

A corporate event planner in Singapore is not just someone who books a ballroom. The job is coordinating everything that touches your event date: venue contract and floor plan, F&B menu and dietary requirements, stage and AV, lighting and LED walls, run sheet down to the minute, emcee and entertainment, registration and door gifts, photography, and the crew standing by on the day to fix whatever goes wrong quietly. For a company organising an annual dinner and dance, a townhall, a product launch or a CNY lo hei event, the value of hiring an event management company is having one point of contact instead of six vendor invoices and six sets of timelines that do not talk to each other.

Bella Entertainment has planned corporate events in Singapore since 2012, from 50-pax townhalls in a hotel function room to 2,000-pax dinner and dance nights at Marina Bay Sands and Suntec. We also run a Dubai office for regional clients who need the same team on both sides.

2. Budget

Corporate event management Singapore: budget by headcount

Budget is driven mostly by headcount, venue tier and how much production you want (LED, staging, lighting design) rather than by the planning fee itself. Below is a realistic range for a corporate dinner or function in Singapore including venue, F&B, basic production and management. These are planning ranges, not quotes: confirm exact figures once venue and date are fixed, since hotel rates move with season and day of week.

HeadcountTypical venue typeAll-in budget (SGD, per pax)Estimated total (SGD)
50 to 100Hotel function room, restaurant private room120 to 2206,000 to 22,000
100 to 300Hotel ballroom, Suntec function hall100 to 20010,000 to 60,000
300 to 800MBS ballroom, Resorts World Sentosa, large hotel ballroom90 to 18027,000 to 144,000
800 to 2,000MBS Sands Expo, Suntec halls, convention centres80 to 15064,000 to 300,000

On top of venue and F&B, budget separately for production (staging, LED, sound, lighting) and entertainment (emcee, band, dancers, magicians, lion dance). A management fee of 10 to 20 percent of total event spend is standard for full service planning, or a flat project fee for smaller events under SGD 20,000 where a percentage fee would not cover the actual hours involved.

3. Inclusions

What is included in a full service corporate event planning package

Full service corporate event planning means the planner owns the whole run of show, not just one slice of it. When companies ask us for a proposal, this is the checklist we work from.

  • Concept and theme: tying the event to the occasion, whether it is a year-end D&D, a CNY celebration, a townhall or a product reveal.
  • Venue sourcing and negotiation: shortlisting ballrooms, function halls or outdoor venues, comparing quotes, and negotiating rates and inclusions on your behalf.
  • Run sheet and programme: a minute-by-minute schedule shared with every vendor so nobody is guessing on the day.
  • Stage, AV, lighting and LED: sourcing and managing the production vendor, or supplying it directly from our own rental stock.
  • F&B coordination: menu tasting, dietary accommodations, timing food service around the programme.
  • Emcee and entertainment: emcees, live bands, DJs, dancers, magicians, lion dance troupes, all booked in-house.
  • Team activities and games: lucky draws, games segments, interactive booths for team building.
  • Decor and photo moments: backdrop, centrepieces, photo booth or step-and-repeat wall.
  • Registration and door gifts: guest check-in, name badges, gift distribution.
  • Photography and video: event coverage and highlight reels for internal comms or marketing.
  • Logistics and permits: load-in schedules, permits for outdoor or public space use, vendor access passes.
  • On-the-day crew: project manager and support staff on site from setup through teardown.
4. Timeline

Planning timeline: from enquiry to event day

Most corporate events in Singapore need 4 to 12 weeks of lead time. Large galas, festive season dates (CNY, year-end D&D) or events requiring a specific premium venue should be locked in 3 to 6 months ahead, since MBS, Suntec and hotel ballrooms get booked out fast in November and December.

StageTypical timing before eventWhat happens
Enquiry and consultation8 to 12 weeksShare date, headcount, venue preference and budget. Quote returned within a working day.
Concept and proposal6 to 10 weeksTheme, programme outline, venue options and cost breakdown confirmed.
Vendor booking4 to 8 weeksVenue contract signed, F&B menu selected, entertainment and production vendors confirmed.
Detailed planning2 to 4 weeksRun sheet finalised, seating and floor plan set, AV and staging specs locked.
Final confirmation3 to 7 daysHeadcount and dietary numbers finalised with venue, briefing sent to all vendors.
Event dayDay ofSetup, rehearsal, doors open, programme runs, teardown and load out.

Rushed timelines under two weeks are possible for smaller functions but limit venue choice and can push production and entertainment costs up 10 to 20 percent due to short-notice availability.

5. Venues

Venues we work with across Singapore

Where the event happens changes almost everything else in the plan, from load-in access to whether you need your own AV rig. We have run corporate events at Marina Bay Sands, Suntec Singapore, Resorts World Sentosa, Capella, Shangri-La, Raffles Hotel, and Fullerton, along with hotel ballrooms and office premises across the island. Each venue has its own house AV policy, F&B minimum spend, and load-in curfew, and a planner who has worked the room before will already know these before the first site visit.

For companies wanting something outside a ballroom, we also plan rooftop events and offsite retreats in Bintan and Johor Bahru for teams wanting a change of scenery without a long-haul flight. See our full event types we cover for weddings, product launches, dinner and dance nights and private parties, and our dinner and dance event planning page if that is your specific event format.

The most expensive mistake: booking the venue before locking the programme

Companies often sign the venue contract first, then try to fit the programme, entertainment and AV needs into a room that was never built for it. This leads to paying for a second sound system when the house PA cannot handle a live band, or discovering the ballroom's LED screen is too small for your video content after the deck is already designed. Bring your event planner in before the venue deposit, not after. A short call before signing can save five figures in retrofitted production costs.

6. Common mistakes

Mistakes companies make when booking an event organiser

  • Confirming headcount too late. Most hotels want final numbers 5 to 7 days out. Late changes cost more per head and can trigger minimum guarantee charges.
  • Treating entertainment as an afterthought. Booking the emcee or band two weeks before a December event often means settling for whoever is left, at a premium rate.
  • No single owner for the run sheet. When the venue, caterer and AV vendor each have their own version of the timeline, things drift on the day.
  • Underestimating AV needs for the room. A ballroom that looks fine for a banquet may need supplementary lighting or a bigger screen for a stage presentation.
  • Not confirming permit requirements early. Outdoor events, use of open flame, or amplified sound past certain hours can require permits that take weeks to process.
  • Choosing the cheapest quote without checking what is excluded. A low headline price sometimes excludes delivery, setup manpower or overtime, which appear later as add-ons.
7. Why Bella

How Bella Entertainment is different from a standard events agency

Most corporate event planners in Singapore outsource entertainment to a talent agency and add a markup on top. Bella Entertainment has run its own roster of emcees, live bands, DJs, dancers, magicians and lion dance troupes since 2012, so entertainment is booked in-house at agency rate, not a marked-up sub-vendor rate. That matters on a budget line item that can easily be 15 to 25 percent of total event spend. Beyond entertainment, we also hold our own rental stock for tables, chairs, tents, LED screens, AV gear and bouncy castles, which shortens the vendor chain further.

If entertainment is your main need rather than full event management, our acts and services page lists every act type with typical rates, and our emcee rates in Singapore and lion dance troupe price list pages break down costs by event type and duration.

Send us your event date, venue and expected headcount on WhatsApp at +65 9428 4249 and we will come back with a quote within a working day.

8. Choosing a planner

Event company, entertainment agency or in-house planner?

Three kinds of help get confused when companies plan an event in Singapore:

  • Event management company: runs the whole production, from venue sourcing, catering, AV and staging to permits and vendor coordination.
  • Entertainment agency: sources, books and manages the performers, such as dancers, live bands, emcees and specialty acts, including contracts, riders and briefings. Bella Entertainment is in this group.
  • Venue coordinator: works for the hotel or venue and manages what happens inside it, such as catering, room setup and the venue's AV. A venue coordinator does not usually source performers or write your run sheet.

Agency or in-house planner

An in-house planner gives you full control and suits a company that runs events every week or month. An agency suits a company with a few events a year in different formats, because it already has a vetted network of acts and backups if an act cancels. Many companies with an in-house planner still book their entertainment through an agency.

Questions to ask before you sign

  • Who books and briefs the performers, and is that cost inside the management fee or billed separately?
  • How do you charge: a flat fee per event, a percentage of the budget, or a day rate?
  • Does the event need a Public Entertainment Licence from the Singapore Police Force, and who applies for it? A licensed venue can tell you what its own licence covers.
  • Do any foreign performers need a work pass under Ministry of Manpower rules, and who arranges it?
  • Can we have an itemised written quote instead of one bundled figure?
  • Who manages the performers on the day?
9. Conferences

What does conference event management in Singapore cover?

Conference event management means one appointed organiser coordinates every moving part, so your team approves decisions instead of chasing them. Your team keeps control of content and speakers. The organiser keeps control of logistics: venue negotiation, the run sheet, stage and AV production, F&B liaison with the venue's banquet team, the emcee and entertainment, and on-site staffing.

The scope grows with the event. A small internal training day needs only a few of these areas, while an industry summit with an awards segment needs all of them plus a rehearsal day. Venue and food are almost always the largest cost line, so negotiating the F&B minimum spend with the hotel usually matters more than trimming the AV budget.

Book 8 to 12 weeks ahead for more than 150 delegates, and at least 4 to 6 weeks ahead for smaller internal conferences. Popular venues such as Marina Bay Sands, Suntec and Shangri-La release peak dates fast, especially in the September to November corporate season and in the weeks before Chinese New Year. Conferences planned in under four weeks are possible but cost more, because venues and AV vendors charge rush fees. Before you appoint anyone, ask who your single point of contact is on the day and what happens if a speaker cancels or the AV fails.

10. Product launches

How do you plan a product launch event in Singapore?

A product launch is not one booking. Roughly a dozen parts have to land at the same minute: the venue, the stage, the AV feed, the emcee's script, the F&B service, the photographer's position and your own speakers. A product launch planner owns that whole run sheet, so the AV crew, the runners and the emcee brief sit under one team instead of three separate contracts.

Check the venue properly before you lock it on date and capacity alone. Common problems are a loading bay that cannot fit the LED truck, a ballroom ceiling too low for a truss rig, or in-house AV that the venue makes compulsory. Choose the venue on guest count and on whether you need media access and press parking. Rooftop bars, warehouse spaces and gallery venues around the CBD suit consumer and lifestyle brands that want a setting made for social media.

Allow 4 to 12 weeks of lead time. Venue availability and custom stage builds drive that range more than the entertainment booking does. Ask for a quote broken down line by line, because a single package price is where scope gets quietly cut.

11. Sports days

What entertainment works for a corporate sports day or tournament?

A sports event has two separate scopes. Logistics covers the venue or field, timing systems and result boards, first aid, marshals, PA equipment and any permits. Entertainment is what makes the day feel like an event rather than a schedule. Many companies and school committees sort the logistics first, then book the entertainment agency directly.

Entertainment usually comes in four moments:

  • The opening: a lion dance or a drum troupe.
  • Halftime or the midday lull: a dance crew, with mascots for walkabout photos.
  • The prize ceremony: a bilingual emcee to keep the programme moving.
  • The after party, if there is one.

Send the agency a rough hour by hour plan (registration, opening, matches, lunch, prize ceremony) so it knows where each act fits and how long it has. On an open field, plan power access, shade for performers waiting between sets, space to change and a weather backup. Check with the venue or the relevant authority whether you need a permit for a public gathering or amplified sound.

12. Brand activations

What makes an experiential event or brand activation work?

An experiential event is built around participation, not presentation. A trade show booth with a banner and a video loop is not experiential. A booth where guests mix a drink, try the product or dance with a performer who pulls them into a branded moment is. In Singapore this usually means launches at retail or lifestyle venues, roadshows across malls or office precincts, and booths at trade shows and conventions.

Most agencies split the job into three parts:

  • Concept and narrative: the story the guest walks through.
  • Production: build, AV, lighting and staffing.
  • The live layer: the hosts and performers on the floor.

Weak activations usually fail on the live layer. The build looks expensive, but the moment falls flat because the person on the floor reads a script instead of reading the crowd. Cost scales with the footprint, the build and the number of live hours, not just the length of the event. Allow six to twelve weeks for a mid-size activation. Anything faster usually means rush fees on the build and the talent.

FAQ

Frequently asked questions

How much does a corporate event planner in Singapore charge?

Most corporate event planners in Singapore charge either a flat project fee or 10 to 20 percent of total event spend as a management fee. For a 100 to 300 pax dinner with venue, F&B and basic production, expect total spend of roughly SGD 10,000 to 60,000, with the management fee on top or built into that range depending on the agency's pricing model.

What does a corporate event management company in Singapore actually do?

A corporate event management company handles venue sourcing, F&B coordination, AV and staging, the run sheet, entertainment booking, decor, registration, photography and on-site crew for the full event, coordinating every vendor under one point of contact instead of leaving the client to manage each supplier separately.

How far in advance should I book an event organiser in Singapore?

Book 4 to 12 weeks ahead for most corporate functions. For large galas, dinner and dance nights, or events during CNY and year-end festive season, book 3 to 6 months ahead since premium venues like Marina Bay Sands and Suntec fill up early in those windows.

Can a corporate event planner in Singapore handle both venue and entertainment?

Yes. A full service corporate event planner sources and negotiates the venue, then also books emcees, live bands, DJs, dancers or lion dance troupes for the same event. Agencies that run entertainment in-house, rather than outsourcing to a separate talent agency, typically avoid a second markup on the entertainment budget line.

What is included in full service corporate event planning?

Full service corporate event planning typically includes concept development, venue sourcing, F&B coordination, stage and AV production, run sheet management, entertainment booking, decor and photo moments, registration and door gifts, photography, permits, and on-the-day crew from setup through teardown.

What size events does a corporate event planner in Singapore typically handle?

Corporate event planners in Singapore commonly handle events from about 50 guests, such as a townhall in a hotel function room, up to 2,000 guests for large dinner and dance nights or product launches at venues like Marina Bay Sands Sands Expo or Suntec's larger halls.

Do event planners in Singapore also arrange venues outside hotels?

Yes. Beyond hotel ballrooms, planners commonly arrange rooftop venues, convention halls such as Suntec and MBS, resort venues at Sentosa, and offsite retreats in nearby locations such as Bintan or Johor Bahru for companies wanting a change of setting for a team event or retreat.

How far ahead should I book a conference organiser in Singapore?

Book 8 to 12 weeks ahead for more than 150 delegates, and at least 4 to 6 weeks ahead for a smaller internal conference. Peak dates at popular venues go fast from September to November and in the weeks before Chinese New Year.

How much lead time does a product launch event in Singapore need?

Usually 4 to 12 weeks. Venue availability and custom stage builds drive the timeline more than the entertainment booking does.

When should entertainment happen at a corporate sports day?

Plan it for four moments: the opening, halftime or the midday lull, the prize ceremony, and the after party if there is one. A lion dance or drum troupe suits the opening, and a dance crew and mascots suit the break.

How long does it take to plan a brand activation in Singapore?

Allow six to twelve weeks for a mid-size activation. A custom build, imported materials or a venue that needs separate licensing approval needs more time.
